Who we need

The Administrative Assistant is responsible for supporting the smooth operation of the school by providing administrative assistance and coordination. This position requires strong organizational, communication, and multitasking skills to ensure that the administrative activities run efficiently. The individual in this role will work closely with faculty, students, and other administrative staff to facilitate the department's daily functions. Contributes to a working environment where all team members can be their best selves, grow and thrive, to support our corporate mission of championing student success.

What you will do

  • Assist faculty and staff with various administrative tasks, including handling inquiries, academic scheduling, registration, and maintaining departmental files, records and documentation.
  • Schedule and coordinate meetings, appointments, and events.
  • Support the department in its purchasing of capital and operating items by following the prescribed procedures in procurement and finance.
  • Submit expense reports in accordance with the templates and processes defined by corporate.
  • Organize, validate and submit the supplementary payroll at TFS.
  • Assist students with inquiries and course-related matters.
  • Help maintain student records and maintain and update the department's databases and academic records.
  • Generate and analyze data reports for departmental use, assist in developing presentation materials
  • Assist in planning and organizing departmental events, such as seminars, conferences, and workshops.
  • Undertake special projects or tasks as assigned by the department head or faculty members.
  • Assisting with the collection of data and the adherence to policies and procedures, to support the administration of the overall maintenance and accuracy of the academic records function.
  • Contributing to a positive corporate culture that supports equity, inclusion, learning, and wellness.

What you bring

  • 5+ years of experience in administration
  • Demonstrated knowledge and experience in post-secondary education system, administration of record and student information systems
  • Expert knowledge of Microsoft Office Suite
  • Ability to be trusted with confidential information; possess irreproachable integrity
  • Bachelor’s degree or college diploma
